EVENT PLANNING

Planning a gala dinner: the program, minute by minute

A gala dinner looks relaxed from the guest’s chair. Behind it is the strictest run sheet in the events business, because everything happens in one room, in one evening, with no second chance. This is the structure we use.

Arrival: 30 to 45 minutes

Reception, welcome drinks, photo moments and soft music. The room doors stay closed until most guests have arrived, so the opening lands on a full house.

The opening: 10 minutes, not 30

Doors open, guests are seated, lights shift, and one short opening piece sets the tone: a film, a performance or a single speech. Three welcome speeches in a row is where evenings go to sleep.

Dinner and program, interleaved

Serve the first course before any program. Then alternate: a course, a program segment, a course, the awards. Guests should never choose between listening and eating, and the kitchen gets predictable windows.

Awards: the fifteen-second rule

Each award follows the same loop: name announced, walk-up music, photo, exit, next. Fifteen to twenty seconds per winner on stage. The energy of an award night is set by this rhythm more than by anything else.

The closing moment

End on a planned high: a final performance, a group photo or a reveal. Never let an evening fade out with half the room already leaving.

What makes it all work

One show caller on headset, a rehearsal in the afternoon, a stage manager at the steps and an emcee who keeps time. The guests never see any of it, and that is the point.
